Voicemail
Create and manage your voicemails with these steps:
- Click the "+Add Voicemail Box" purple button in the top right corner to create a new mailbox.
- In the right side panel, provide the following information:
- Box title (Required): Enter the mailbox title.
- Minute duration: Voicemail length is unlimited by default, but you can set a limit by entering a minute duration.
- Choose your preferred voicemail notification method(s) by selecting one or more of the following options:
- "Email" Checkbox: Select this option and enter the email address to receive an email notification with the voicemail attached. You can specify multiple email addresses by clicking the "+Add Email Variable" button.
- "SMS" Checkbox: elect this option and enter the SMS-enabled phone number to receive an SMS notification without the voicemail file attached. If you wish your hotline to be SMS notified, ensure your hotline is SMS-enabled by clicking the chat icon to the right of the hotline number under your Dashboard.
- "Call:" Checkbox: Select this option to receive a phone call notification for voicemails, and the system will play back the voicemail recording.
- "Voicemail Greeting" radio button: Select whether the greeting will play from a branch or a voicemail box.
- Branch: If you choose "Branch," be sure to set the greeting in the respective branch separately. When a single box is used for various messages types, set separate greetings for specific message types and routes. For example, you can have a customer service greeting for those inquiries and another for different call types. To use a single greeting for the voicemail box in general, configure it here.
- VM (Voicemail) Box: If you prefer this option, you can select the greeting right on this page. Simply choose the appropriate album and the specific recording from the provided drop-down lists. If you want to use the default system voicemail greeting, leave the album and recording fields blank.
- 🆕"Message Review" checkbox: When selected, the system will play back the voicemail to the caller and give them the opportunity to confirm their recording before saving it or to record a new one.
- Voicemail Table: The voicemail table displays Caller ID, Caller Name, Timestamp, and other details of your voicemails.
- By default, the table shows voicemails from all voicemail boxes. To see voicemails from a specific box, click the "All" drop-down on the top right and select the desired box.
- To listen to a voicemail, click the play button
- To delete a voicemail, click the trashcan icon on the right
- To mark a voicemail as 'read,' click an entry (purple left sidebar turns lighter) and click again to toggle and mark it as 'unread'.
- To edit multiple voicemails at once, check the appropriate checkboxes and use the "Delete" or "Mark as Unread" bulk action button on the top right.
